I'll start a new thread nearer the date with all the details, probably the week before as it all gets firmed up, but likely 1000 depart, either group, from the filling stations.
 
Right, we're busy getting it together. Barbecue available for the Friday night only, might have two bands vying for performing rights, and some great routes sorted with great photo opportunities.

I have been asked by more than one person if it wouldn't be easier for me to book camping for the lot of you. I don't mind doing that, it'll save Rudding taking too many individual calls anyway and prevent confusion.

OK, so if you want to camp with us as a group, in your own caravan, motorhome or tent just drop me a PM so I get a complete list. I'll then block book a "patch" for us. I'll pay the deposit and collect form each of you on the day. Please make it a PM and not here so I can collate it more easilier :D

Hard top accommodation, just book your own and get the best deal.
 
Across DSC and DUN I now have four people booked in for camping. Any more for any more - I will co-ordinate the booking of the camping for you all.

early days, mate, early days! You know most of the buggers on here will leave it until the last minute anyway - as the sun begins to shine and the miles start rolling under the wheels they'll know they want to come. Anyway last year the RTL meal and accommodation wasn't sorted out until end of March/April. So loaaads of time.
 
Like I told you today Pete, we'll be e-mailing our Ducati base with all the info, I expect at least 20 who dont follow the website to participate in the weekend.:)

I stayed in the Rudding Park hotel only last week. The clocktower is pretty good, but you had better bring plenty moolah and a nice set of threads because like Harrogate, it's bloody expensive. Anyhoo, I'll drop in an say hello on one of the days.

WTF? WTF? Too right WTF. If you had actually bothered to TELL me you were intending to come it might have helped. As it would if more people had done the same. As of 17th April I had precisely - FIVE people confirmed on the event listing on the calendar (one for the evening only???) - FOUR people PM'd me to book camping (and one of them gave backword as it "was too close to home"??????) and another who was unsure whether or not to stay with relatives close by?????

There had been almost NO posts on the matter since the middle of February (indicating as I said, little interest and apathy) until I RELUCTANTLY decided to cancel. Then we get a few more - from the same people more or less. Pathetic.

We have got to within six weeks of the event and that was it. It was to the stage where I needed to confirm how big a camping space we needed (and pay for it), confirm the caterers and let them know of numbers expected (OK so it was just a barby but even so numbers were required), get the room booked and paid for to house the band and organise ride leaders etc. All of which I had planned for, but come on - for 10 people? Ducati Leeds were ready to bring their van over and some bikes too. Waste of time for them.

It was not worth it. Duncan, I'm surprised at your response mate!

Both the 996 and the Monster are sold to make way for new bike, which at THAT TIME was somewhere in the future. Hence my comments.

It was like the old proverb - "you can take a horse to water but you can't make it drink". The plate was laid out and no-one wanted to eat. There was no more for anyone to do but LET ME KNOW THEY WERE COMING. Everything was sorted and I did say a LONG time ago that it was up to you the riders/members to make it work and not enough of you did.

Apologies to those few who had made intentions clear, to the rest, well...

Patch mate, I was gearing up for it too............that's the real world though - there are some who do and many that don't.......
 
Pete, I'm also sorry this has been cancelled. I had planned to come down for 2 days, but being a newbie and didnt know the ettiquetty stuff on this site (still dont) and held of posting a reply to you. I had hoped to chat at Hartside about it but unfortunately never got to meet you there. I wonder how many others there held off replying to this thread but intended to go? Perhaps we could still do the planned rideouts ??

I think Pete has made it quite clear that it is off unless there is someone else out there who wants to volunteer to arrange things at short notice ???? Although i'd not indicated any intention to attend i would like to say thanks and well done Pete for all the time and effort you have obviously put in to try organise a do for everyone. Well done and hope you are back on the road soon.

Pete I have to say I'm a little disspaointed with the above, you say there's been little interest and no comments since February? Where were yours chasing people?

Last weekend at Brands a handful of the DSC crowd were there for the Desmo Due Racing and they were asking ME if this was still going ahead, I said I don't know I assume so but no-one (YOU!) hasn't done much to keep promoting it since the initial posts and I said the best thing to do was look on UpNorth to see where this is at....

If numbers were low, and only you know who is coming why haven't you kept pushing it? Keeping it at the top of the new posts etc?

Last year I organised the trackday at Oulton, and I kept pushing that all the way on as many forums as I could, date set in stone no if's or but's allowed, difference was I guess people had to hand over their hard earned well in advance. This year however Claire tried to organise another date but the response was poor something like 7 people so that was that why spend time and effort when the numbers are high enough.

I had the same with the first Winter Warmer in 2006, we needed to confirm bookings and get a deposit off everyone, you know how many people sent a deposit? not a one... but 30 people turned up it's the way people are mate just because 6-7 people have confirmed you'd probably see 30 people there on the day.

Unfortunately now with this post the uncertainty from some people whether to attend or not has probably confirmed they won't if indeed it did go ahead.

Last year RTL was exactly the same, with 4 weeks to go we had 10 names, a room booked with the deposit on my credit card and hardly anyone confirmed as attending. I pushed ahead anyway, Linzi and Claire started contacting people and luckily ( actually its not luck its hard work) we managed to get enough support by the date to cover the deposit. People don't commit to events early, they wait till close to it to make sure they have a bike, make sure they'll be able to go. A lot of making it a success comes from keeping the event promoted, threads would get bumped, I'd post recce ride photos and try and keep it in peoples minds even though they didn't put their names on the calendar. Marketing the event is the most important bit and that takes time as well but that hasn't happened with VTR.

I kept on with the planning knowing the event would go ahead no matter what, the team involved all knew we would run the event and that also helps knowing there are others just as committed. as I'm certain a lot of people here know the workload is substantial, recce rides, route maps, ride guide etiquette, planning, signs etc and the reason RTL didn't go ahead this year was because I knew I couldn't put that same commitment in because of work and I knew how much was involved if you altered location as you can't re-use the already prepared info hence my reluctance to pass RTL over.

These points were all made in advance of VTR, I explained the issues related to booking venues, marquees, catering and bands and I'm not surprised Pete has had to cancel the event , its difficult ( but not impossible) to run so big an event without the safety net of a club , RTL only ended up like that after I gave up trying to get the club i was a member of to underwrite it and funded it myself.

I don't think VTR failure can be solely attributed to the folk who were planning on coming but hadn't confirmed any, there are a few other lessons to learn from it regarding size of event, teamwork involved in the planning stage and at the event and promotion as well.

Pete that was the only response I could give, if you had read my first response to your original post , due to my circumstances ie: waiting to go into hospital for an op,therefore was not able to commit myself at the time but as the time drew nearer it was obvious no op this side of summer so I did commit, and as for booking camping I was doing that myself,

Let's keep it simple eh? I HAD DONE ALL THE HARD WORK. It simply needed people to say YES. Not enough did. Simple. I cannot and will not chase people - we are all adults after all.

I might get 30 or more? Then again I might not. Last year's Dalesman's Dash being a case in point. Good job there was no financial commitment needed there from me. Want to know how many "turned up"? Four, fecking four. And NONE of them were from England. Where were you?

You might have unlimited credit facilities and be prepared to "underwrite it". Well, I can't and won't.

Once again it didn't also look as if I would have a bike either. Pretty stupid if I didn't. Selfish I suppose wanting to ride as well as organise. Ride recces, route cards, etiquette and conduct sheets were all done. "T" shirt designs done, supplier prepped, all I had to do was press the button. They would have been available on the day at cost only. Despite the fact that I live just over a mile from the campsite I had called in a favour and was borrowing a friends 4 berth van as a sort of HQ. THAT FAVOUR TOOK SOME WORKING.

Oh and BTW it did mean I would be taking my busiest day of the week in the heart of the season and closing up for this. Being a one man band that's sometimes hard to do, so don't anybody think I was not committed to the event.

A good event gone begging. I know exactly how people are mate. It seems to me that about 40 people "held off posting". Why? It's usually because of - "weather" - "getting @@@@ed maybe the night before" - "other half might not let me" - "need new tyres" - "don't know anybody". Heard them all.

I AM SORRY TOO, CAN'T SAY IT ANY LOUDER. Some people did commit, and I do thank them, esp Duncan. I'd forgotten about the op mate. A quick count around even the thirty mile radius of Harrogate gives us about thirty riders. TWO, just TWO had responded with a yes.

The Sunday ride will still happen if anybody can arsed to say they want to do it.

Got every sympathy with anyone who organises anything. It is often a leap of faith, you really don't know who will turn up until shortly before the event, even then poor on the day weather or some other factor can throw a big spanner in the works with a boat load of no shows.

Having to cough up financiallly in advance for stuff is an even bigger leap in to the unknown and there is always a risk that it won't always come off as it were.

The difficult bit these days is as Pete says is getting people to commit before the point of no return is reached.

Clubs as well as individuals are not immune to catching a financial cold on events. If it happens in a club the organisers get hauled over the coals for blowing club funds, for an individual it could leave a very sour taste.

Sometimes you can get round this by coming up with ways of putting stuff on without any financial risk, i.e. tagging on to trackdays organised by commercial TDOs, leaving peeps to their own devices booking accomodation, tagging onto other events, race meets, the European V twin meet etc, but sometimes doing things that way does affect the event in some material way.

I let Pete know ASAP I would be away at the TT for YPVTR, but would do what I could to make sure the DSC Yorkshire region knew it was on, where to get info. etc, etc.

Sure it's frustrating for both organisers and participants, no one wants to see events get canned. IMHO a little understanding of the pressures involved on the organising side helps, :)

I think many of the folks commenting are more than aware of the pressures to organise this sort of event.

After you had patronised the folks on here that made comment about this I just wanted to confirm that many of us did indeed understand the effort involved and were not having a go at Pete, but empathising with the effort he has put in.
